AI Agent Services

AI Front Desk

When you are on a job, under a house, in a customer's driveway, or already helping someone else, the next call still matters. An AI Front Desk answers that call, handles the routine questions, gathers the details your team needs, and gets the conversation moving instead of sending the caller to voicemail.

An unanswered phone is not a failure. You were working. A conversation that never starts is the biggest hole in your bucket: the lead is gone before you ever knew it existed.

This is not a generic phone tree and it is not a chatbot dropped onto your business. It is a focused answering and intake system built around your services, hours, service area, booking rules, and escalation preferences. It was built first for HVAC and garage-door companies, and the same pattern now serves chiropractic practices and med spas: any local business whose calls follow a pattern.

Hear the front desk work

No slide deck. No exaggerated AI claims. Call a live demo line and hear how a trained front-desk assistant answers, asks the right questions, and gets a service request ready for the schedule.

All four businesses below are fictional. The phone experience is real: an AI assistant will answer, identify the need, collect the service details, and walk through booking a visit.

24/7 HVAC Answering Demo

Desert Breeze Heating & Air

Fictional East Valley HVAC company used for this demonstration

Hear how the assistant handles a no-cooling call, asks about safety and urgency, gathers the address and equipment details, and offers a service window without guessing at a repair price.

Try saying:

  • “My AC is blowing warm air.”
  • “I need a tune-up on two systems.”
  • “How much will it cost to fix?”

Garage Door Answering Demo

Try saying:

  • “I heard a loud bang and the door won't open.”
  • “My door is crooked and my car is trapped.”
  • “Can you give me an exact price for a new spring?”

Chiropractic Front-Desk Demo

Cactus Ridge Chiropractic

Fictional East Valley chiropractic practice used for this demonstration

Hear how the assistant books a new patient's first visit, handles the insurance question without ever promising coverage, and keeps the health details to a minimum. No medical advice, ever.

Try saying:

  • “I'd like to book a first visit for my lower back.”
  • “Do you take my insurance?”
  • “Can the doctor tell me what's wrong over the phone?”

Med Spa Front-Desk Demo

Agave Glow Med Spa

Fictional Scottsdale med spa used for this demonstration

  • “I want to book a facial this week.”
  • “Is laser hair removal safe for me?”

What the demo is showing

A useful AI front desk is not just a voice that answers. It has a job to do:

  • Answer on the first call, including after hours
  • Figure out what the customer needs
  • Ask safety questions before scheduling questions
  • Collect the name, callback number, address, and job details consistently
  • Avoid inventing prices, arrival times, or promises
  • Offer a real appointment window or route the call for confirmation
  • Send the office a clean summary instead of a vague message

That is the difference between a novelty and a system a business can rely on. A production front desk is trained on the client's actual services, hours, service area, offers, and escalation rules.

What this service produces

  • A phone line answered day or night, including overflow and after-hours calls
  • A natural intake conversation based on the reason for the call
  • The caller's name, callback number, service address or area, problem details, and urgency
  • Appointment booking or appointment requests handled according to the business's rules
  • A call summary for the owner, office, or dispatcher after the conversation
  • Clear escalation paths for urgent calls, upset callers, and people who need a human decision
  • Periodic review of real call patterns so questions, scripts, and routing can improve

How it works

  1. 1

    Map the calls

We identify the calls the business receives most often, the information the team needs, and which calls should never be handled by automation alone.

  2. 2

    Build the front desk

I configure the greeting, questions, service information, booking rules, transfer rules, and call summaries around the business. The goal is the smallest useful system, not the most complicated one.

  3. 3

    Test the conversations

We test normal requests, incomplete answers, price questions, urgent problems, after-hours calls, and requests for a person. The system does not go live because it worked once in a demonstration.

  4. 4

    Connect the number

The front desk can answer a dedicated number or take overflow and after-hours calls from the existing business line, depending on the phone setup.

  5. 5

    Review and tune

Call summaries and recurring questions show where customers get stuck and where the business process needs attention. We adjust the system as services, hours, promotions, and capacity change.

Is it a fit?

A good fit

This service is a good fit when:

  • Calls regularly go to voicemail during jobs or after hours.
  • The owner is acting as the backup receptionist.
  • Routine calls follow recognizable patterns.
  • The team needs consistent information before dispatching or calling back.
  • The business can define which calls should be transferred or escalated.

Not a good fit

It is not a good fit when every call requires licensed judgment, complex dispatch decisions, or a negotiation the owner is unwilling to define rules for.

Pricing

Standard

$497/mo + $499 setup

One location, 24/7 answering, appointment booking, instant owner alerts, monthly proof report, routine tuning.

Premium

$897/mo + $499 setup

Two locations or a second agent, quarterly database reactivation bundled, review-request automation, priority tuning.

The one-time setup covers the short review of call types, number setup, booking rules, integrations, and locations involved, plus build and testing. Fair-use call allowance applies (~1,000 minutes on Standard); unusual volume, additional locations, or custom integrations may change the price.

Questions owners usually ask

Will it sound like a robot reading a script?

It should sound like a trained front desk following your rules. The exact voice and conversation design are part of the build and testing process. If the demonstration does not sound acceptable to you, do not buy the service.

What happens when a caller needs a person?

The call follows the escalation rules we set in advance. That may mean transferring the call, taking a detailed message, or marking it urgent for immediate follow-up.

Can it give prices?

Only within the boundaries you approve. It can explain published offers or diagnostic fees if you provide them. It should not invent a repair price or promise a final quote sight unseen.

Does it replace my office staff?

Not necessarily. For many businesses, the better use is coverage when the team is busy, away from the phone, or off for the night. People still handle judgment, relationships, and exceptions.

Start with the calls you are already missing.

Book a short fit call. We will look at your current call pattern, the information your team needs, and whether an AI front desk is the right tool. If a simpler phone process would work better, I will tell you that instead.
